The one day substitute handoff template
A fill in template that turns a sick day into a taught day, written so a substitute who has never met your class can run it cold.
This is the template we hand new ChalkHandoff customers before they build anything in the app, because the shape matters more than the software. It is four pages: the orientation page a substitute reads in ninety seconds, the bell by bell plan, the student and safety notes a sub is cleared to see, and the close out that gets your room back in one piece.
Fill it in once for a normal Tuesday and keep the copy. Everything on page one, the room number, the bell schedule, the two adults by name, the logins, and the exits, stays true all year. After that, an unplanned absence costs you one activity swap per period instead of a fresh set of plans written from a phone in the dark.

How to use it
Use it first on a planned absence, not an emergency. Fill it in for a professional development day when you will be in the building anyway, then ask the substitute at dismissal which page they actually used. The answers are consistent: page one and the timing blocks, rarely anything else, which tells you where to spend your effort.
A grade team gets more out of it than a solo teacher does. When four rooms use the same four page shape, a covering teacher who takes period three in someone else's room already knows where the seating chart and the fallback work will be. That is what makes an unfilled job survivable instead of a lost day.

Questions about this document
Can I put this in our district shared drive?
Yes. Teachers copy it into whatever their building already uses and grade teams often keep one master version per hall. Just regenerate the seating chart after each schedule change, since that is the field that goes stale first.
How much student information is safe to include?
Include what a substitute must act on to keep students safe and supported: medical response steps, accommodations that change the day, and pull out times. Leave out grades, evaluation reports, and anything about a student's history. The template is laid out to make that line easy to hold.
Does this work for a long term leave?
It covers the first day well and the first week acceptably. A twelve week leave needs pacing, grading authority, and parent contact handled separately. Use this template for day one so the long term substitute starts from a working room rather than a cold start.
After page one is filled in
Writing the orientation page and one bell by bell day is most of the work, and the part that defeats people is keeping it true after the master schedule moves and the projector login rotates in January. That upkeep is the whole job ChalkHandoff does. Bring your filled in template to a demo and we will carry it over as your first banked day.
